Getting started
PharmaFlow runs your whole pharmacy from one place: selling at the counter, tracking stock and expiry dates, recording prescriptions and controlled substances, managing customers and suppliers, and reporting on the business. It works for a single shop or a chain of branches.
Most pharmacies are selling the same day. You create an owner account, add your pharmacy and its first branch, load or import your catalogue and opening stock, invite your staff and open the till.
No. PharmaFlow runs in any modern web browser and on the staff mobile app. A receipt printer is optional. You can also send receipts by SMS.
Yes. You can bulk import your drug catalogue and opening stock instead of typing every item by hand.
Branches & staff
Yes. Stock, sales and staff belong to a branch, while customers and prescriptions are shared across the whole pharmacy. Owners and admins can switch between branches; staff are pinned to their own.
Yes. Access is role-based and denied by default. You can also hide specific modules from an individual staff member with a per-staff overlay.
You move stock from one branch to another and PharmaFlow records the movement on both sides, so each branch balance stays correct.
Money & payments
All amounts are in Ghana Cedis and are always whole cedis. Price fields, discounts, refunds and amounts tendered do not accept decimals, so GHS 15 is valid and 15.50 is not.
Cash, card, and Mobile Money on MTN, Telecel and AirtelTigo, through the payment gateway configured for your pharmacy.
Refunds are safe to retry: asking twice replays the original instead of paying out twice. Cash is returned immediately. Mobile Money and card attempt an automatic reversal, and if that is not possible the refund is held and completed once you make the payout.
Controlled substances
Yes. You open the register with a physical opening count, and from then on every dispense, supplier receipt, return and void is recorded automatically with a running balance you can reconstruct from the opening date.
A valid, unfulfilled prescription that is scoped to your pharmacy and matches the customer on the sale. This keeps the register and the law on the same page.
Billing & account
You pay per active branch per month, and the per-branch rate drops on higher plans and at higher branch counts. Quarterly and annual billing carry a discount. See the Pricing page for the current plans.
You keep full access during a 7-day grace period after a plan lapses. After that access is limited until the subscription is renewed. Your data is never deleted for a missed payment.
Yes. You can move up or down as your pharmacy grows or contracts, and billing follows the new plan.
Data & security
Sessions use signed tokens, sign-in is optionally protected by two-factor authentication, and access is denied unless a role is explicitly allowed. Sign-ins, stock movements and money events are all recorded in an audit trail.
You do. Your pharmacy's records belong to you, and each pharmacy's data is isolated from every other pharmacy on the platform.
